Hospitality Coordinator
Duration: 13 weeks – March 24 to June 20, 2025
Salary: $890/week
The Head of Reception ensures an exceptional experience for the Festival’s guests. This key role, focused on hospitality, involves ensuring a warm and smooth welcome, as well as a successful integration into the Festival’s environment. Maintaining a strong sense of organization and diplomacy is at the heart of this mission, actively contributing to the success of this major cultural event.
Under the supervision of the production manager, the Head of Reception works closely with the production team while taking on a variety of distinct responsibilities:
- Define the needs and coordinate all local and national transportation in collaboration with the Programming and Production departments;
- Supervise the arrival and departure schedules of artists, ensuring presence during their arrival and departure from the hotel or airport;
- Handle and maintain hotel room reservations for guests and maintain regular communication with hotels before and during the event;
- Supervise, manage, and create the work schedule for reception staff, including reception assistants, drivers, and volunteers;
- Actively participate in welcoming guests, including at the Reception Lounge at the Headquarters, at the airport, at the hotel, and in the performance venues;
- Manage, plan, and ensure the respect of allocated budgets.
